About Vedamode

The team companies trust to win government work.

Vedamode handles government bids end to end for mid-sized to large companies. Tender discovery, company profiling, paperwork, compliance, and submission, across India and international markets. When a company wants to win government contracts without building an in-house bid team, Vedamode is that team.

The scale is serious: more than 25 active clients and over a thousand bids prepared every month. Every one of those bids has documents, deadlines, compliance requirements, and a client who wants to know what is happening. That operation was running on spreadsheets, drives, and phone calls.

The Problem

Growth was outrunning the tools.

Vedamode’s service was winning. Their tooling was not. Five problems showed up in the first working session, and every one of them got worse with each new client.

A thousand bids a month, tracked in spreadsheets

Every tender lived in a different sheet, inbox thread, or someone's head. At Vedamode's volume, finding the current status of any single bid meant asking around.

Compliance documents scattered everywhere

Government bids fail on paperwork. Certificates, registrations, and client profiles were spread across drives and email, with no way to know what was expiring or missing until a deadline made it urgent.

Clients had zero visibility into their own bids. The team spent hours every day answering the same question: where is my bid right now?

With dozens of bids moving at once, managers could not see team workload. Work got duplicated, handoffs got missed, and capacity planning was guesswork.

Every client, every tender, one system. Each bid carries its full history, documents, owner, and status, so anyone on the team can pick up any bid and know exactly where it stands.

Bid tracker with deadline pipeline

Bids move through a visual pipeline from discovery to preparation, submission, and result. Deadlines drive the view, so nothing slips silently and the closest submission is always front and centre.

Compliance engine

A per-client document vault tracks every certificate, registration, and profile document, with expiry tracking and per-tender requirement checklists. Missing paperwork surfaces weeks before it becomes a problem.

Client portal with realtime visibility

Every Vedamode client gets a live portal showing exactly where each of their bids stands. The daily status calls stopped on day one, because the answer is always on screen.

Built-in chat, attached to the bid

Client and team communication happens inside the platform, threaded on the bid it belongs to. Decisions and documents stay attached to the work instead of getting lost in email.

Team workload view

Managers see who is working on which bid and how loaded each person is, at a glance. Assignment takes seconds and capacity planning is based on the actual pipeline, not gut feel.

Before designing anything, we sat with the Vedamode team and mapped how a bid actually moves, from tender discovery to result, including everything that goes wrong.

Designed around their operations

The platform mirrors how their team already works, so adoption was immediate. No process re-engineering, no months of training, no parallel spreadsheets.

Shipped, then iterated with the team

We launched the core fast and kept building with real usage feedback. The chat, workload view, and portal refinements all came from watching the team use the product.

The Outcome

Vedamode now runs more than a thousand bids a month for 25+ clients through a single platform. Every bid has an owner, a deadline, and a live status. Compliance documents are tracked before they expire, not after. Managers see team workload in realtime, and clients watch their bids move without picking up the phone.

The status-update calls that used to consume hours of every working day stopped once clients had the portal. That time went back into the work that wins bids.
